* The current contract for offsite record storage for Lake County expires in March of 2023.
* There is a need to contract with a qualified storage facility that shall be responsible for maintaining a controlled file storage facility for Lake County.
* Request for Proposals (RFP) were sent to nine vendors; sealed RFP's were received from five vendors.
* An interdepartmental evaluation committee interviewed five firms and based on the evaluation criteria in the RFP identified Vanguard Archives, Franklin Park, Illinois as the most qualified firm.
* Lake County desires to enter into a two-year initial term contract with three one-year renewal options available after the initial term with, Vanguard Archives for Offsite Record Storage for Lake County in the estimated annual amount of $120,000.

WHEREAS, in accordance with Section 33.050 of the Lake County Purchasing Ordinance, proposals were called for by publication for Offsite Record Storage for Lake County; and
WHEREAS, subsequent to said publication, request for proposals were extended to nine vendors; and
WHEREAS, sealed proposals were received from five vendors on December 6, 2022, at 11:00 a.m.; and
WHEREAS, based on the criteria set forth in the Request for Proposals, an ad hoc committee selected Vanguard Archives, Franklin Park, Illinois, as the most qualified firm for Lake County.
NOW, THEREFORE, BE IT RESOLVED, by this County Board of Lake County, Illinois, that the Purchasing Agent is hereby authorized to enter into a contract with Vanguard Archives, Franklin Park, Illinois, in the estimated annual amount of $120,000, for Offsite Record Storage for Lake County for a two-year contract plus three one-year renewal options.
