Staff Summary
* The agreement for the County's current agenda management and video streaming solution expires August 2014.
* A Request for Proposal (RFP) was developed and reviewed by an interdepartmental committee comprised of representatives from the County Administrator's Office, County Board Office, Health Department, County Clerk, Information Technology, Public Works and the Division of Transportation.
* The RFP was sent to nine vendors and proposals were received from four vendors.
* Following a comprehensive review of the submitted proposals, the submittal provided by Provox Systems, Inc., McKinney, Texas was identified as the most qualified and most favorable for Lake County.
* The contract includes the purchase of the agenda management software, implementation services, data transfer, customization, training and video streaming in an amount not to exceed $80,035 for the first year, with an annual software maintenance cost estimated at $13,400 annually for the next four years.

Body
WHEREAS, in accordance with Section 5-102 of the Lake County Purchasing Ordinance, proposals were called for by publication for an agenda management and video streaming solution; and

WHEREAS, subsequent to said publication, request for proposals were extended to nine vendors; and

WHEREAS, sealed proposals were received from four vendors and opened in the Central Permit Facility, Libertyville, Illinois, on June 6, 2013, at 2:00 p.m.; and

WHEREAS, based on the criteria set forth in the Request for Proposals, an Evaluation Committee selected PROVOX Systems, Inc., McKinney, TX to be in the best interest of Lake County.
